What we wantThe Program Manager designs and delivers alumni and donor engagement, stewardship, and advancement programming that deepen connection to the Naresh K. Vashisht College of Medicine. The role partners closely with the Texas A&M Foundation and the Association of Former Students to ensure high-quality stewardship, accurate data, and consistent constituent experiences that advance philanthropic relationships and alumni involvement, and advance engagement and connections and support of the College. What you need to knowSalary: Will be commensurate based on the selected hire’s education and experience. Five years’ progressively responsible experience in alumni relations, donor relations/stewardship, advancement, events, or related constituent and volunteer engagement. Preferred QualificationsMaster’s degree from an accredited college or universityExperience working with a higher-education foundation and alumni groups. Familiarity with stewardship processes and impact reporting. Strong written communication skills for stewardship and executive correspondence.Experience with event planning and activation.Experience supervising student employees and volunteersProficiency with advancement/CRM systemsA Class “C” vehicle operator’s license or ability to obtain within 30 days of employment.Knowledge, Skills, and AbilitiesAbility to positively and professionally interact with alumni, donors, external constituents, faculty, students and staffAbility to effectively communicate both orally and in writingExceptional interpersonal communicationsStrong attention to detail and organizational skillsAbility to handle confidential information with discretionAbility to multi-task and work cooperatively with othersEvent planningResponsibilitiesAlumni & Donor Engagement and StewardshipLead alumni and donor engagement strategies that increase connection, participation, and recognition (e.g., class/program touchpoints, reunions, student mentorship links). Build and execute individualized stewardship plans (acknowledgments, impact updates, annual thank-you cycles, recognition societies). Manage the Outstanding Alumni Awards process (promotion, selection logistics, recognition experience). Support student-to-alumni transition programming in partnership with student affairs/career services. Coordinate alumni/donor volunteer roles (advisory councils, events, class agents), including recruitment, onboarding, and appreciation. Liaise with College departments and campus affiliates to coordinate programs of interest to students, alumni, and the broader community. Advancement Events & Stakeholder RelationsPlan and deliver College-level advancement events (VIP visits, scholarship/award celebrations, donor receptions, reunions, tailgates/signature gatherings) with end-to-end logistics and budget accountability. Develop customized campus tours and experiences for VIPs (major donors, public officials, partners). Oversee community and philanthropic sponsorship requests and benefits fulfillment; maintain a master calendar to prevent conflicts and maximize visibility. Recognition & Naming Support: Coordinate recognition and naming deliverables (e.g., plaques, signage, space/building markers, digital recognition, web features).Manage timelines, vendor coordination, proofreading/approvals, installation logistics, and inventory of recognition assets in alignment with Texas A&M standards and College brand guidelines. Communications & Content CreationPartner with marketing & communications to plan and produce alumni/donor content (invitations, event pages, stewardship letters, impact reports, newsletters) and ensure consistent voice and brand standards. Draft and proof executive correspondence, remarks, and talking points for advancement engagements. In collaboration with marketing & communications, maintain and update advancement-related web pages; leverage email, social, and print media appropriately. Data, Reporting & OperationsMaintain accurate alumni and donor records in the Association/Foundation-approved CRM. Document procedures for sponsorships, scholarships, acknowledgments, and reporting; coordinate scholarship stewardship (student thank-you process, impact narratives, delivery timelines). Track budgets for advancement activities; prepare periodic dashboards and presentations for leadership (engagement, event attendance, stewardship completion, pipeline activity).
