This pivotal role is essential to maximizing the EVP's effectiveness and efficiency, enabling them to lead GUMC's complex tripartite mission of education, research, and clinical care. The Executive Assistant serves as a critical liaison, gatekeeper, and proactive partner, navigating a dynamic and mission-driven environment. The incumbent will manage the EVP's complex schedule, handle sensitive communications, and provide logistical and project support for key initiatives. This position requires impeccable judgment, foresight, and a deep commitment to embodying and championing GUMC's Jesuit values, including cura personalis and a dedication to diversity, equity, and inclusion.Duties include but are not limited to:Proactively manage and strategically optimize the EVP's complex calendar, scheduling a high volume of meetings with diverse internal and external stakeholders to maximize strategic engagement.Serve as the primary point of contact for the EVP's office, greeting visitors, managing all incoming and outgoing communications, including drafting and editing sensitive and confidential correspondence.Prepare the EVP for executive-level meetings by researching background information, compiling data, and preparing comprehensive briefing notes, talking points, and presentations.Coordinate all logistical aspects of meetings, committees, and events, including agenda development, material distribution, minute-taking, and diligent follow-up on action items.Handle highly confidential and sensitive information with the utmost discretion, maintaining secure and organized systems in compliance with institutional policies.Support special projects and strategic initiatives, coordinating tasks, tracking progress, and assisting with research and analysis to ensure timely completion.Manage daily office operations, including processing expense reports, managing supplies, and serving as administrative support as assigned.Work InteractionsThis position reports directly to the Vice President for Strategic Management and Operations (VPSMO). The Executive Assistant is a central figure in the EVP's office, working closely with the EVP's executive team, senior leadership across the GUMC and University, central Human Resources and Finance offices, external partners, and other executive support staff within Georgetown University and MedStar Health. By facilitating seamless operations and communication, this role provides critical support that enables the EVP to advance the Medical Center's mission. The work of the Executive Assistant directly contributes to GUMC's commitment to excellence in research, education, and patient care, reflecting the broader Georgetown University mission of service to the common good.Requirements and QualificationsEducation: Bachelor's degree.Experience: A minimum of five (5) years of progressively responsible experience as an Executive Assistant supporting C-suite executives or senior leadership, preferably within a complex academic, healthcare, or non-profit environment. Demonstrated experience managing complex calendars, coordinating high-volume meetings, and handling sensitive information is essential.Technical Qualifications:Expert-level proficiency in Google Workspace (Gmail, Calendar, Docs, Slides, Sheets), Zoom, and other relevant collaboration and administrative software.Exceptional organizational and time management skills with a proven ability to manage multiple priorities, anticipate needs, and meet deadlines in a fast-paced environment.Superior written and verbal communication, active listening, and interpersonal skills, with the ability to interact professionally and effectively with diverse stakeholders.Proven ability to identify issues, propose solutions, and act autonomously within established guidelines.Meticulous attention to accuracy and detail in all tasks and communications.Unwavering ability to handle highly sensitive, confidential, and privileged information with the utmost integrity, judgment, and discretion.A high degree of professionalism, strong emotional intelligence, and a service-oriented mindset. margin-top:0in;"> margin-top:0in;">undefinedPreferred QualificationsExperience working in a higher education or academic medical center environment.Familiarity with the unique governance structures and operational complexities of a university-affiliated medical center.An understanding of the Jesuit educational tradition and values, particularly cura personalis.A demonstrated commitment to fostering a diverse, equitable, and inclusive environment.
