Work Flexibility: Hybrid or OnsiteBasic purpose of role/Why the job exists:Responsible for ensuring efficient and safe operation of office facilities and providing a comfortable work environment for employees. Oversee facility management and general affairs responsibilities, including vendor management, cost optimization, and compliance with regulations.Key ResponsibilitiesFacility Management & General AffairsPlan and execute maintenance, repairs, and renovation projectsCollaborate with the Global Real Estate team to formulate and implement optimal lease strategies for Japan.Ensure compliance with safety, health, and building regulations.Manage space planning and optimization, including office layout and relocations.Oversee internal services such as security, catering, waste disposal, parking, visitor management, and cleaning.Manage office supplies, procurement, and mail/courier handling.Support internal events and employee welfare programs.Administer car leasing and corporate housing programs, ensuring cost efficiency and compliance.Vendor & Contract ManagementSelect suppliers, obtain quotations, and negotiate contractsAnalyze costs and implement efficiency measuresMonitor service delivery and quality against contractual obligations.Business Service Office (DE&I Hiring)Manage the Business Service Office, a team composed of employees with disabilities, in partnership with external consultantsBudget ManagementPrepare and manage annual operating and capital expenditure budgetsTrack spending and preparing financial reportsTeam ManagementLead and develop facility and general affairs staffDrive process improvements and implement best practicesDirect Reports (if any): YesRequired QualificationsMinimum 5 years of experience in facility management or general affairsHands-on experience in vendor management, contract negotiation, and budget controlKnowledge of Japanese labor safety laws and building regulationsBusiness-level English proficiency (for global coordination)Proficiency in MS Excel, PowerPoint, and facility management systemsBachelor’s Degree preferredTravel Percentage: None
