Job DescriptionOdegaard Writing and Research Center has an outstanding opportunity for a part time Program Assistant to join their team. About this OpportunityThe Odegaard Writing and Research Center (OWRC) seeks a detail-oriented, motivated Program Assistant to support the largest writing center on the UW-Seattle campus. The OWRC’s mission is to support the long-term development of writers and researchers across UW—undergraduate and graduate students, faculty, and staff—through high-quality, conversation-based peer learning.The Program Assistant position reports to the Director of the OWRC and works under the general direction of the Program Manager with primary administrative responsibilities and project work in the areas of scheduling, administrative and program support, human resources, student employee supervision and fiscal support. The Program Assistant plays a key role in supporting daily operations, programming and administrative projects in the OWRC, independently handling essential program functions beyond routine administrative tasks, and collaborating with staff to drive the center’s mission.This is an in-person position (M-F, 9am-1pm) in a shared office environment within the UW Odegaard Undergraduate Library. This position is eligible for hybrid work during interim breaks between academic quarters and if the center’s services are virtual.Key Responsibilities:Scheduling (40%)Follow best practices in writing center administration to build a tutoring and student employee schedule that is accurate, consistentCreate, manage, and reconcile scheduling for in-person and online tutoring appointments (appx. 300 a week)Create and manage schedules for OWRC Student Admin Team shifts.Maintain schedules for internal and external OWRC programs and initiatives, including weekly pods, workshops and outreach events.Coordinate shift assignments for 40+ student staff to meet program needs.Administrative and Program Support (35%)Follow best practices in writing center administration and writing center assessment to provide daily administrative writing center support and to support long-term projects to enhance center growth.Assist with OWRC program projectsAssist Program Manager with coordinating quarterly tutor programming (i.e., peer-to-peer professional development workshops, peer shadowing and observations)Assist Director with collecting assessment dataCoordinate and compile quarterly departmental newsletter in consultation with Program ManagerMaintain internal and external OWRC web spaces, ensuring content and accessibility considerations are up to date and comply with UW policies.Maintain OWRC style guide for marketing and outreach communications in consultation with OWRC leadership.Assist with updating student employee handbook.Maintain student staff alumni network.Coordinate projects as assigned, based on the needs of the OWRC.Provide administrative and office support for all aspects of OWRC daily operations, including but not limited to managing the OWRC email account; maintaining OWRC workspaces; updating the OWRC website; updating information in OWRC’s appointment scheduler; serving as front desk concierge (on occasion); assisting with technology support for online appointments.Organize and maintain the production, distribution, and storage of OWRC files; develop and maintain office record keeping and filing systems. Regularly update and disseminate OWRC program-specific informational materials in consultation with Program Manager.Maintain OWRC program materials, resources and communication platforms in accordance with UW policies.Provide logistical and administrative support for OWRC events, workshops, and training sessions.Serve as the primary point of contact for general center inquiries, addressing needs from both internal staff and external clients.Receive and respond to requests for OWRC records and materials.Utilize SharePoint, Microsoft Office and G Suite in support of OWRC projects. Other duties as assigned.Administrative Support for Human Resources (10%)Follow best practices in writing center administration to support OWRC HR administration, including overseeing Student Admin Team and providing administrative support for peer writing tutor training and orientations.Provide administrative support for student and employee hiring cycles, onboarding, and training.Assist with training Student Admin Team; develop and create onboarding materials; lead annual updates of Student Admin Team manual in consultation with OWRC leadership.Provide administrative support for student staff orientationsAssist with tracking OWRC student employee completion rates for university required trainingsGenerate and distribute internal communications such as newsletters, reminders, and announcements in consultation with OWRC leadership.Maintain confidential personnel records; oversee departmental compliance with university records management policies.Student Employee Supervision (10%)Use knowledge of writing center administration and the theory and practice of teaching of writing to supervise OWRC student employees.Supervise student employees (tutors and student assistants); serve as a primary point of contact for student employees.Lead weekly meetings and projects with Student Admin Team (4-6 student staff), ensuring alignment of their tasks with OWRC policies and expectations.Ensure OUGL code of conduct and OWRC policies are followed by all student employees and visitors to OWRC.Fiscal Support (5%):Use knowledge of writing center administration to run and interpret fiscal reports.Regularly run fiscal reports and maintain internal finance documentation.Submit purchase orders for office supplies and materials for OWRC’s office space, programs and events.Process honorariums for guest speakers.Track program expenditures.Required QualificationsTo be considered for this opportunity your application must demonstrate you meet both the minimum qualifications and additional qualifications listed below.
