Job Title:Executive Assistant to the VP and DeanDepartment:FAES | Dean-VP OperatingThe Executive Assistant to the Vice President and Dean will be responsible for providing comprehensive administrative support for the Vice President for Agricultural Administration and Dean and Chief of Staff of the College of Food, Agricultural, and Environmental Sciences (CFAES). Uses considerable judgement and independent decision-making authority while acting on behalf of the VP and Dean and Chief of Staff for a broad range of administrative operations in the office, which range from Government Affairs, Faculty and Staff Affairs, Academic Affairs, Advancement, Agricultural Operations, Finance, including the effective management of the VP and Dean’s time. Serves as contact for the VP/Dean’s office with all University and external constituencies. Works with the Chief of Staff to support the VP/Dean in her Governor-appointed roles on several Boards and Commissions and to understand her position and priorities to anticipate needs. Responsible for the effective time management of the VP/Dean’s schedule by organizing complex scheduling requests and frequently shifting priorities of time commitments. Under the direction of the Chief of staff, manages the obligations of the VP/Dean through the coordination and prioritization of her calendar, email, correspondence, committee responsibilities and project work. Anticipates conflicts and makes decisions to arrange the VP/Dean’s schedule. Performs administrative work of a complex nature, conveying highly sensitive information while maintaining confidentiality. Keeps the Chief of Staff notified of important events, activities and shifting priorities throughout the university and college. Convenes and leads group of college leadership administrative assistants (approx. 18 people) to coordinate efforts and share best practices for supporting members of the Vice President’s Cabinet and Department Chairs. Supports the Chief of Staff to assist with projects. Coordinates communications, travel, meeting materials, and special events. Serves as a member of the broader Dean’s Office support team. Performs other duties as assigned.This position is a highly functioning and broad administrative support role. While typical administrative support skills (e.g., incredible organization, attention to detail, excellent follow-through, and a high degree of professionalism) are critical, successful candidates for this opportunity must also have the ability to anticipate needs and possess the mental acumen and ability to put the big picture together by knowing what questions to ask and when to ask them. Establish strong networks to facilitate communications, produce results and resolve problems on behalf of the VP/Dean and Chief of Staff.Demonstrate people and political agility having the ability to quickly get to know all of the leaders across the college, university, external stakeholders (including commodity group leaders, industry partners, corporate executives and leaders, legislative officials, alumni, and donors) and develop connections. Convey and manage highly sensitive information with professional integrity, diplomacy and discretion. Ability to maintain regular/scheduled office hours and also have the flexibility to come in early and/or stay late as needed.Minimum Required QualificationsBachelor's Level Degree or equivalent combination of education and experience and 4 years of relevant experience. Considerable consistent and progressive experience working with leaders. Strong articulate communication skills. Must possess strong problem solving and organization skills, attention to detail, excellent follow-through, and a high degree of professionalism; be a highly resourceful team player with ability also to be effective independently; demonstrate poise, professionalism, good judgment, confidence and positive energetic attitude; have the ability to stay focused, efficient, and effective in managing multiple priorities; knowledge of Microsoft Office programs. Ability to maintain regular scheduled office hours and also have the flexibility to come in early and/or stay late (as needed).Desired QualificationsConsiderable knowledge of Ohio State University and departmental policies, rules and regulations.
