Department:38756 Wake Forest Baptist Medical Center - OphthalmologyStatus: Full timeBenefits Eligible:YesHours Per Week:40Schedule Details/Additional Information:Monday through Friday 8:00am-5:00pmPay Range:$20.80 - $31.20Patient Scheduling Coordinator (Advanced)Position Summary:The Patient Scheduling Coordinator is responsible for coordinating patient care activities, including scheduling appointments, managing diagnostic testing, and facilitating communication between patients, providers, and clinical teams. This role requires independent judgment, strong organizational skills, and a high level of customer service in a fast-paced clinical environment.Minimum Qualifications:High school diploma or GED requiredMinimum of three (3) years of clerical experience, including at least six (6) months at a Patient Scheduling Coordinator level or equivalentLicensure/Certification:Basic Life Support (BCLS) certification required within 30 days of hireMust successfully complete and maintain required internal certification program and accuracy standardsKey Responsibilities:Schedule clinical appointments for new and returning patients, prioritizing based on clinical urgency using IDX and other scheduling systemsCoordinate laboratory work and diagnostic testing utilizing systems such as LastWord, NotesLink, and LogicianAssess patient needs via phone and determine appropriate scheduling timeframesFacilitate coordination among providers, patients, nursing staff, and external partners to ensure completion of required testing and documentationCoordinate inpatient and outpatient testing, including logistics such as transportation and timingPrepare patient charts and ensure all required documentation is complete prior to visitsAddress patient inquiries regarding clinic policies and assist in resolving concerns or complaintsSupport patient needs, including accommodations such as interpreter servicesAssist in training and onboarding of new staffProcess required system transactions and assist with medical coding and billing accuracyCoordinate surgical procedures, including scheduling, pre-certifications, and resource planningPerform financial-related tasks such as insurance authorization and billing inquiriesParticipate in required training and departmental meetings; maintain compliance with all policiesPerform other duties as assignedRequired Skills & Qualifications:Knowledge of third-party payors and basic understanding of ICD and CPT coding (or willingness to obtain)Strong data entry skills (minimum 5,000 keystrokes per hour with ≤3% error rate)Ability to work independently in a high-volume clinical environmentStrong multitasking and organizational abilitiesExperience with IDX, Medipac, LastWord, or similar systems preferredFamiliarity with managed care or health insurance processesExcellent customer service and communication skillsWork Environment:Medical office settingWell-lit, climate-controlled workspacePhysical Requirements:Frequent sitting, typing, and phone communicationOccasional standing, walking, bending, and reachingAbility to lift up to 20–50 lbs. as neededOur Commitment to You:Advocate Health offers a comprehensive suite of Total Rewards: benefits and well-being programs, competitive compensation, generous retirement offerings, programs that invest in your career development and so much more – so you can live fully at and away from work, including:CompensationBase compensation listed within the listed pay range based on factors such as qualifications, skills, relevant experience, and/or trainingPremium pay such as shift, on call, and more based on a teammate's jobIncentive pay for select positionsOpportunity for annual increases based on performanceBenefits and morePaid Time Off programsHealth and welfare benefits such as medical, dental, vision, life, and Short- and Long-Term DisabilityFlexible Spending Accounts for eligible health care and dependent care expensesFamily benefits such as adoption assistance and paid parental leaveDefined contribution retirement plans with employer match and other financial wellness programsEducational Assistance ProgramNote: Eligibility for programs listed above may depend on your FTE or status (e.g., full-time, part-time, per diem, temporary, etc.); please ask a Recruiter for more information during an interview.About Advocate Health Advocate Health is the third-largest nonprofit, integrated health system in the United States, created from the combination of Advocate Aurora Health and Atrium Health.
