Job DescriptionOverview: The Executive Assistant (EA) provides high-level administrative and operational support to the Vice President / General Manager of the Reagents & Assays Segment and their team, while also serving as a key point of contact for administrative and site-related support in the San Diego office. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced, matrixed environment.The ideal candidate is proactive, detail-oriented, and comfortable working independently while partnering cross-functionally to ensure executive effectiveness and a well-run site.Key Responsibilities:Provide complex calendar management, scheduling, and coordination across time zones and global stakeholdersCoordinate domestic and international travel, including itineraries, accommodations, and timely expense reporting while adhering to T&E policiesPrepare, edit, and format executive-level presentations, reports, and communicationsSupport leadership meetings, operating reviews, including agenda creation, logistics, and follow-up on action itemsServe as a trusted partner handling sensitive and confidential information with professionalism and discretionAct as a liaison between the VP/GM and internal/external stakeholders, anticipating needs and facilitating timely communicationSite Support – San Diego OfficeProvide administrative and operational support for the San Diego site, helping ensure a positive employee experienceCoordinate site meetings, events, and town halls (logistics, communications, catering, room setup)Partner with Facilities, IT, HR, and Safety teams on site-related requests and initiativesSupport onboarding logistics for new hires at the site, as neededAssist with space planning, supplies ordering, visitor coordination, and general office operationsServe as a point of contact for employees on routine site-related questions or needsProvide backup support to other administrative professionals as neededQualifications RequiredHigh school diploma/GED with formal training or equivalent work experience required.5+ years of experience supporting senior leaders (VP level or above) in a corporate environmentProven experience managing complex calendars, travel, and executive-level logisticsStrong proficiency with Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel)Excellent written and verbal communication skillsHigh level of professionalism, integrity, and discretionPreferredExperience utilizing AI toolsExperience supporting a GM or segment/business unit leaderPrior site support or office management experienceExperience working in a matrixed, global organizationFamiliarity with life sciences, diagnostics, or regulated environmentsKey CompetenciesAbility to anticipate needs and act with minimal directionExceptional organizational and time-management skillsStrong attention to detail and follow-throughComfortable balancing executive priorities with site-level responsibilitiesCollaborative, service-oriented mindsetAt BD, we prioritize on-site collaboration because we believe it fosters creativity, innovation, and effective problem-solving, which are essential in the fast-paced healthcare industry.
